Terms & Conditions

The following Terms & Conditions relate to holding an event at The Farm Daylesford, 626 Daylesford-Malmsbury Rd, Wheatsheaf VIC 3461 Venue Hire Duration /Access Venue hire duration for reception event is generally 6 hours- Commencing at 5pm, concluding at 11pm. Vendors have access from 11am to set up on date of event (Caterers continue to have excess after 3pm) and between 11-12pm on night of event and 8-9am the following morning to pack down event and remove all hire equipment. Additional time may be given subject to bookings. The function is to end no later than 11pm. Guests will have 30 minutes to depart the property safely after the conclusion time as detailed on your event confirmation form. In accordance with the Liquor Licensing & Council Regulations, the bar must close, and all music must cease at 11pm sharp for all functions held at The Farm. Please note The Farm Daylesford is not responsible for any loss or damage incurred for any property – hire or personal.

Cleaning

Reasonable cleaning costs are included in the hire fee. You may be held responsible for any cleaning expenses beyond normal wear and tear as well as any loss sustained by The Farm. This may include (without limitation) damage to the venue or premises generally, its fittings, equipment or grounds whether caused directly or indirectly by you, your guests, invitees, outside contractors, or agents. All additional rubbish must be removed off premises on the conclusion of event. If is not removed a cost of $100-$400 will be invoiced to you and must be paid within 7 days. On request rubbish can be removed the following day before 9am.

Entertainment & Music

All music must cease at 11pm and may notexceed our decibel limit of 85 decibels.

Food & Catering

All food served during an event at The Farm must be supplied by a registered caterer or food business.

Transport

We highly recommend you consider the use of buses for your guests as we have. All cars must be off premises by 10am on conclusion of event.

Suppliers & Flowers

Access times will be advised by management prior to the event after all event details are confirmed. Standard bump in is 10am on day of event and bump out is at 11pm on events conclusion. Flowers & vases must be removed by 9am sharp at the very latest the following morning. You will be advised during the consultation process regarding supplier access times.

Gifts

Please note we require for all gifts received and/or your wishing well to be removed from the venue upon the conclusion of your event.

Smoking

All interior spaces at The Farm, including 5 metrers from the building perimiter are smoke free. There will be an allocated smoking area.

Fire Safety

In the unlikely event of a ‘Total Fire Ban’ we require your bus company (if hired as transport for your guests) to stay on site at The Farm for the duration of your event. No smoking is allowed on the property during a ‘Total Fire Ban’. Any open flame cooking vendors eg. Wood fired pizza ovens, must email all relevant insurance and permits 30 days prior to event and adhere to any further guidelines issued by The Farm. During a ‘Total Fire Ban’ candles may only be lit at the discretion of The Farm. In the rare event of a code red rating resulting in cancellation or evacuation of an event, The Farm will assist in rescheduling your event.
